Photos & Videos Policy

Purpose

At Kingston Wildcats, the safety and privacy of our players, coaches, volunteers, and families are a top priority. This policy outlines our approach to taking, using, and sharing photos and videos during club activities, ensuring respectful and responsible use across all platforms.

Scope

This policy applies to:

  • All players and their families

  • Coaches, club officials, and volunteers

  • Anyone attending or involved in club activities

Permission & Consent

  • Parents and guardians must provide signed consent for KWSOB to take photos and videos of their child during training sessions, games, and club events.

  • The club will always seek clear permission before using a player’s image in promotional materials, on our website, or via social media.

Use of Photos & Videos by the Club

  • Photos and videos taken by the club may be used for promotional purposes, including:

    • The club website and social media

    • Newsletters and printed materials

  • No personal identifying information (such as full names or contact details) will be shared with any image unless further consent is provided.

Photography and Videography by Parents and Guardians

  • Parents and guardians are welcome to take photos or videos of their own child for personal use.

  • Out of respect for others’ privacy, please avoid capturing or sharing images that prominently feature other children unless permission is given by their parent or guardian.

Sharing on Social Media

  • Parents and guardians may share images or videos of their own child on personal social media channels.

  • Please do not post images of other children without consent from their parent or guardian.

  • All publicly shared content involving Kingston Wildcats must be respectful and appropriate. The club reserves the right to request the removal of any content deemed inappropriate or damaging to the club’s reputation.

Restrictions and Prohibited Actions

  • Photos and videos must not be used for commercial purposes without written permission from the club.

  • Recording of private meetings or confidential discussions is not permitted.

  • Drones or other unmanned aerial vehicles may not be used to capture photos or videos during club activities unless explicitly authorised.

Handling Complaints

Any concerns regarding the misuse of photos or videos should be reported to the club’s management team. The club will investigate and take action as appropriate.

Policy Review and Updates

This policy is reviewed annually. Updates may be made to reflect changes in legal requirements or club operations.
Parents and guardians will be informed of any significant changes and may be asked to sign a new consent form when necessary.
